Theatrical Loans

Theatrical screenings generally refer to those:

  • which are open to the public,
  • or for which admission is charged,
  • or which are conducted by an individual or organisation that falls outside of the non-theatrical definition.

ReelsCopyright

The NFSA does not generally hold the copyright in the titles in its collection. The right to screen material theatrically is not included in the loan. You will need to clear the rights for your screening. Written permission from the appropriate rights holder/s is required prior to the release of material from the NFSA. Additional copyright fees may be levied by the copyright owner.

Unless prior written consent has been obtained from the copyright holder, it is an offence to:

  • Screen a NFSA title to an audience.
  • Transmit or communicate a NFSA title by electronic or digital means, such as television, closed circuit, cable, on-line or any other electronic means of any kind, present or future.
  • Save, copy or reproduce a NFSA title as a whole or in part, by any format or storage method whatsoever.

Borrowing

Registration

  • Loans will only be made to registered groups or organisations. They cannot be made to individuals for private use or home screenings.
  • Registration forms are available from NFSA Screening Loans staff.

Booking

  • Booking requests should be made through Screening Loans staff via email or telephone.
  • Direct access to information on our holdings is available through our online collection database: Search the National Collection
  • NFSA staff can provide curatorial advice for your program. Research fees of $54 per hour may apply. Please discuss with a staff member.
  • Material lent is subject to loan and projection conditions and print availability. The NFSA reserves the right to decline requests to loan items.
  • The loan period for material is one screening only. Multiple screenings will need to be negotiated.
  • Your booking will be confirmed upon completion of a Loan Agreement.

Loan Agreement

  • The Loan Agreement serves as a legal contract between the borrower and the NFSA.
  • Your responsibilities as a borrower will be detailed on the Loan agreement.

Cancellations

  • Bookings may be cancelled via email, telephone or fax.
  • Borrowers should contact staff directly by email, telephone or fax in the event that a booking is to be cancelled less than 5 days before the required despatch date. Cancellation charges of up to half the loan fee for the order may apply.
  • Bookings cannot be cancelled once they are despatched. The full loan fee for the order will apply and the borrower will still be responsible for the cost of return freight.

Loan Returns

  • It is the responsibility of the borrower to ensure the safe return of items to the NFSA.
  • Borrowers must use a trackable mail system, such as Registered Mail or a commercial courier.
  • Titles should be returned securely packaged in original boxes.

Screening Report

  • A Screening Report is sent with each order requesting information on audience numbers and print quality. The screening report should be completed and returned with loans. Information supplied by borrowers enables the NFSA to assess its service and to be more responsive to borrowers' needs.
  • Damage

  • Borrowers loaning titles for commercial screening must hold the appropriate insurance cover for loss or damage to items whilst in their care.
  • Borrowers will be required to pay for the repair or replacement of a collection item, as determined by the NFSA, Borrowers should not attempt to repair damage, but should include an explanation of the nature and cause of the damage on the screening report.
  • Acknowledgment

    • Any publicity, advertising or screening notes, whether printed or in online or electronic form, should acknowledge titles loaned from the NFSA, as follows: 'Print courtesy of the National Film and Sound Archive'.
    • Each title sourced from NFSA collection should carry this acknowledgement.
    • Wherever possible, the NFSA would like this acknowledgement to be accompanied by NFSA's graphic signature (logo) which is available electronically from NFSA Screening Loans staff.

    *Additional costs may apply for video copies especially created.
    ** Fees apply up to a maximum of 30 kg, with $1 per kg over that weight

    • A shorts package comprises up to 50 minutes of short films.
    • Premium quality prints are prime archival film copies in new or near new condition which attract a premium fee.
    • Outward freight fees are charged at a standard rate Australia-wide. This covers standard road transport, and the borrower is responsible for return freight. Urgent or exceptional freight requirements may attract an additional fee.
    • Freight costs for export loans apply on a case by case basis.
